Email Confidentiality Notice and Disclaimer
Any email sent from Cortec Ltd may contain information which is confidential and/or privileged. Unless you are the intended recipient you may not disclose, copy or use it: please notify the sender immediately and delete it and any copies. You should protect your system from viruses etc; we accept no responsibility for damage that may be caused by them
Cortec Ltd (referred to as “we”, “us” or “our” in this privacy notice) holds your business related personal details for a variety of reasons and purposes, just like most companies do. We have compiled this privacy notice to provide you with details of what information we collect and hold and how your personal data is processed.
In general, the personal data that we collect is limited to the types of information found on a typical business card. We process data under two lawful bases. These are legitimate business interests and contractual reasons.

The types of personal data that we hold:
- Identity Data – this may include your first name, last name and title.
- Contact Data – this may include details of the company that your work for, your work place address, email address and telephone numbers.
- Financial Data – this may include your business bank account if you are a supplier or subcontractor that we will make payments to.
- Transaction Data – this may include details on our Sage accounting systems and software that describes payments between us or purchases made by you.
- Marketing Data – this may include your preferences in receiving marketing from us and your communication preferences.
We will collect and process different types of personal data depending on the type of business relationship that we have with you.
Information relating to current or previous customers of Cortec Ltd:
If you are a current or previous customer, we will collect and process your Identity Data, Contact Data, Financial Data, Transaction Data and Marketing Data. The lawful basis for processing this data is the fulfilling of a contract with you. We are required by law to keep such data for a minimum of six years for tax reasons after the completion of the project. We are also required by law to keep your data for periods stipulated by each contract that we enter into. Depending on the type of contract this can be as much as ten years or longer. During this period, we will securely archive your information. The data that we hold in relation to current or previous customers is largely freely volunteered by those customers. We may also collect certain data about customers relating to financial data offered by Creditsafe Limited for the purpose of credit checking to enable us to satisfy ourselves as to the financial stability of such companies or trusts.
Information relating to prospective business contacts:
If you are a prospective customer, a prospective customer’s agent or an architectural or surveying contact that we could potentially form a business relationship with, we will collect and process your Identity Data, Contact Data and Marketing Data in the legitimate interests of developing our services and growing our company. We partner with a construction business development agency called Contractors Marketing Services Ltd. They use their specialist online database on our behalf and we have access to this database. The data on this database comes from two sources:
- Information that is freely volunteered by individuals that we speak to or is publicised on your company website.
- Information in the public domain – i.e. available through Local Authority planning portals or from third party data providers specific to the construction industry, or from Google searches.
Information relating to current or previous business contacts such as consultants:
If you are a current architectural or surveying contact that we are currently working with on a live project, or if we have been involved in a previous project together, we will collect and process your Identity Data, Contact Data, Transaction Data and Marketing Data. We will also retain such data for contractual reasons. The information that we hold relating to current or previous business contacts is largely freely volunteered by those individuals or companies, or it is either advertised by such companies or accessible through the public domain.
Information relating to current or previous suppliers and subcontractors of Cortec Ltd:
If you are a current or previous supplier or subcontractor, we will collect and process your Identity Data, Contact Data, Financial Data, Transaction Data and Marketing Data. We will do this for contractual reasons to help us carry out and complete our construction projects. We will also retain such data for contractual reasons. The information that we hold relating to current or previous suppliers or subcontractors is largely freely volunteered by those individuals or companies, or it is either advertised by such companies or accessible through the public domain. We may also collect certain data about suppliers and subcontractors relating to financial data offered by Creditsafe Limited for the purpose of credit checking to enable us to satisfy ourselves as to the financial stability of such companies.
You may receive marketing communications such as emails from us in the legitimate interest of improving our services and growing our company. It is very important to us that we provide you with the highest level of service. In order to help us do this, from time to time Cortec Ltd may send you details of our services which we think may be of interest to you. Such emails will have an unsubscribe link on them which you can use to confirm that you would no longer like to receive such communications. However, this will not affect the retention of data that we already hold about you for other legitimate interests or contractual reasons.
Cortec Ltd will not share, sell or rent your personal information to third parties. However, we may disclose your personal information to third party suppliers who provide services on our behalf.
Such third party suppliers would include professionals such as accountants, bankers, lawyers, auditors, insurers, HM Revenue & Customs and other UK based authorities. We will only allow such third parties to process your personal data specified purposes or legal reasons.
We will only sell or rent your personal information to a third party either as part of a sale of the assets of a Cortec Ltd company or having ensured that steps have been taken to ensure that your privacy rights continue to be protected.
Cortec Ltd places a great importance on the security of all information associated with our business contacts. We have security measures in place to attempt to protect against the loss, misuse and alteration of customer data under our control. For example, our security and privacy policies are periodically reviewed and enhanced as necessary and only authorised personnel have access to user information.
